What CIS-friendly paperwork is for
Contractors use your invoice (and related records) to understand what they are paying for and how much relates to labour under CIS. If the PDF is vague — “works on site £12,000” with no split — payment and deduction admin slow down.
You are still sending a commercial invoice for client billing. Official CIS verification, deductions, and returns stay with HMRC processes and your own bookkeeping.
What a CIS-friendly invoice usually shows
Supplier and contractor details, unique invoice number, issue and due dates, site or job reference, description of works, labour/materials split when required, VAT if you are registered, and payment terms.
Pair with how to create an invoice for editor steps and what to include on an invoice for the general field checklist.
- Trading or legal name matching how you are known to the contractor
- UTR / tax references only where your process already requires them on invoices
- Clear labour lines vs materials / plant when the contract expects a split
- VAT number and VAT amount when VAT-registered
Labour vs materials — why the split matters
Many CIS arrangements treat labour differently from materials you buy and recharge. Putting both in one opaque line makes it harder for the contractor to apply the right treatment and for you to reconcile payments.
When in doubt, mirror the wording in your contract or the contractor’s preferred format. Do not invent deduction percentages on the PDF — this tool does not apply CIS rates.
Using the free CIS generator
Open the UK CIS generator from the UK hub (GBP defaults). Add business details and VAT number if registered, itemize clearly, adjust Taxes, then download PDF.
Keep matching payment records, timesheets, and CIS statements outside this tool. Entity habits: sole trader or Ltd.
- Itemize labour vs materials when the contract requires it
- Add a site or PO reference in Notes if the header fields are full
- Generator helper only — not CIS filing software
After you send the PDF
Store the issued PDF with your records. If the contractor queries deductions or retention, reply with the same invoice number and line detail — do not quietly edit an already issued number.
For non-construction UK billing without CIS, start from the UK hub or the VAT overview.
