Kenya VAT Invoice Guide (KES + Free PDF)

· · Reviewed by NestInvoice editorial team

Kenya VAT invoices should show KRA PIN when required and a clear VAT line in KES. Generator defaults often start near 16% — confirm the rate for your supply. eTIMS or other mandated electronic rules may apply; this generator makes a readable PDF draft, not a KRA eTIMS substitute. Do not copy Nigeria or Ghana rates onto KE invoices — use the hub /ke.

What to show

Supplier KRA PIN, unique number, dates, customer, description, net, VAT, and total in KES — same commercial spine as what to include on an invoice.

Payment instructions (M-Pesa notes, bank details) belong on the PDF when you collect that way. Estimates stay separate: invoice vs estimate.

Rates and registration

Clear Taxes if you are not VAT-registered. Adjust the rate for exempt or zero-rated supplies — do not leave 16% on every line by habit.

Regional structure only: Nigeria VAT, Ghana VAT.

PDF vs eTIMS

A clear PDF helps the client pay. It does not replace eTIMS when KRA rules require it. When the buyer needs an official structured document, treat this tool as a draft or annex.

Using the free generator

Open Kenya VAT or /ke. Enter PIN under From, itemize in KES, set Taxes, download PDF.

General flow: how to create an invoice. Overview: VAT on invoices.

  • Unique invoice number — never reuse
  • Generator helper only — not eTIMS software
  • Keep PDF copies with your records

Frequently asked questions

Is this eTIMS?

No. Use authorized eTIMS / KRA channels when mandatory. Here you get a readable client PDF draft.

Is VAT always 16%?

16% is a common starter default in generators. Confirm the treatment of your supply before locking the PDF.

Same as Nigeria or Ghana?

No. Kenya has its own KRA rules and KES. Use [/ke](/ke), not only an NG or GH generator.

Where do I put KRA PIN?

Under From. Add the client PIN when needed for B2B clarity.

Quote or invoice?

A quote is a proposal. The invoice is the payment request — keep them separate in your records.
